Even a small website project can be a big endeavor
Try an maintain a usable communication plan with sponsors and team members.
Work hard to obtain buy in from all team members and sponsors
Clearly define roles, responsibilities and expectations at the beginning of the project!
Try to maintain momentum if the project drags on longer than expected
Be flexible - but realize there is a schedule to maintain.
COMMUNICATION is the key to everything!

Final Presentation
Well I didnt end up using the mind maps I created in the official final presentation but I did find them ot be useful when I was trying to organize my thoughts.
I gave my final presentation on Wed. July 30, 2008. It went very well but I had a technical glitch in the middle when I was unable to access the Joomla version of the RYT website.
Now the work to complete the website will continue and I will be setting up a day to train the staff on how to update the site using Joomla. I will need to spend some time doing this first so I can create a user manual for the staff.
I hope to have the site delivered and the staff trained by the end of August!

MindMap
Today I began work on a mindmap using MindMeister. I am trying to map out risk management and mitigation for my project. It is an interesting process to think about the categorizing the various stages of the project...should it task driven or deliverables? I have started 3 different maps
and have also been drawing some of the processes on paper to help me think it through.
I will use this in the future at the beginning of a project and also to help brainstorm.
Some unexpected thought have happened...I realize how much i have done and how far the project has come. I am also starting my reflection document and then I want to begin the presentation.

July 1st! Update
Today I asked for a status update from my programmer, fellow student. She has overcome the latest technical hurdle with applying a template to the Joomla site and hopes to start adding modules soon. Hopefully, she will meet the deadline of having something functional for the Capstone Fair July 12. I am still gathering copy for the site from my sponsors. They have not been getting back to me with much in the way of copy so today I sent an e-mail out to all of the kids and parents who participate in the theatre program asking for their input. I have asked for them to send me their favorite quotes from shows they have been in and also a testimonial about their experience in the program. It will be interesting to see what kind of response I get.
I have also applied the code from cushycms.com to much of the html site as a plan B. This will allow the sponsors to edit designated areas of the website. It has limited capabilities and is not the easiest to use when adding and editing images, but I would like to see how it works for them just in case! I have also been working on the html site and adding content. I found some code to add a photo gallery with html and css (no javascript, yeah!) it is on the site but I still need to play with it some more.
The next big performance for RYT is the Shakespeare Tour, which takes place Aug 5-10 in various towns in the central VT area. I need to begin sending out the information including the link to the website to other organizations and websites.
I think that the capstone website will need to be completed oor even re-done after the completion of the trimester.

Promotional Schedule
As part of my change management class and also part of this capstone I am working with RYT to create a promotion schedule. I just completed a first draft and e-mailed to the key sponsors, to spur some discussion and help with the effort of thinking through when promotional efforts should begin. This is a top level document with not a lot of task based elements defined as yet. I merely want to encourage feedback and discussion around the schedule.

Friday - re-evaluate progress
I had another disappointment with the project this week, I had hoped to show some progress to the stakeholders today, but due to more technical difficulties was unable to do so and had to re-schedule the meeting. I am now reviewing the schedule and trying to prepare a new schedule which I will give to my programmer and ask for her commitment to the delivery dates specified.
I am also proceeding with creating wireframes and gathering and preparing content for the site.
The process so far has not been what I had hoped and I will be documenting my progress and the steps I have and will be taking to deal with the issues.
It is difficult to seperate out the academic expectations of this capstone from the actual deliverable that I have promised....but I see that is what I should focus on.

RYT Style Guide
Just finished the Style Guide for the RYT theatre website. This is a document I created years ago when working in the corporate web department at Merck. I actually created most of their documentation used there for managing production, assets and orienting new hires. I guess it was the result of too much unnecessary chaos...I had to keep track of many thing and make sure the information was accessible to everyone at anytime.
I will probably revise this document as we progress with the site. Also the fact that Joomla and CSS are being used may add more information that should be tracked. This is the document I am using to relay information to my programmer.
I don't think I can attach a document here so I will try and save a sample page and post as an image.

Not much progress
This week I am trying to balance the time consuming efforts of looking for a new job and working on all of my school work, including my capstone. I am assigned to work with an outplacement service, Lee Hecht Harrison. working on the assignments and attending the teleconferences is taking about 30 hours a week and can be come all consuming. It requires a lot of writing, self-examination and research.
As far as my capstone project, I still have not seen much progress on the site being built in Joomla. I will check in again with my programmer and hope to have something to show my stake holders by this friday at our face to face meeting. I just found out about another possible way to program the site if the joomla site does not happen. Someone I know has created a site using Yahoo and this allows them to go in and edit the content, although there are limitations to what can be done on the site. I am looking into Google aps as another possibility, just in case!
the work breakdown schedule and the gantt chart are areas that I am uncertain how much to change the information contained within? and do I need to even do the gantt chart?

Capstone issues
I had a meeting with my stakeholders friday May 30th at 9am. I was hopefull that since we had an agenda we would be able to work through creating a production calendar for the year. Unfortunately, some of the key people were not able to stay beyond 9:30 am which was not enough time to gather the information needed. It was also difficult to keep everyone on task.
I did manage to gather some dates for when things were due and also to explain the importance of planning ahead and of sahring the information. Hopefully, this will sink in an everyone will realize the benefits of clear communication.
The next issue is the fact that much of my capstone is dependent on another person (programmer) this is really becoming a problem and perhaps I need to rewrite my proposal and all of my capstone documents to adjust this issue. I have so far not been able to get any work delivered from the other student. I am going to try and build the site myself in Joomla.
I need to review the schedule and perhaps I should discontinue having the other student work on this project. I'm not sure if that is feasible at this point...It is very disappointing when other people don't deliver their part of the work.
If this was a project I was managing in the work place I would have several ways to deal with this issue....but since this is a school project the incentive is not the same for each of us working on this project.

Communication plan & advisor session
I am really excited about the communication/scheduling plan I am working on for the theatre.
I have had several e-mails with Anne the new marketing person and she seems happy that someone else is ready to tackle these issues. I mentioned the need to circulate an agenda via e-mail to the meeting participants so we can cover everyones issues at the next meeting.
I hope this will ensure that my issues are addressed. She is having difficulty getting everyone to a meeting - but hope one will be scheduled by next friday.
A suggestion I made for the meeting was that I bring a large year-at-a-glance type of calendar (love a visual aid) to help with the scheduling and planning for the up comming shows and classes. Also, I need to think of a way to make it easy for people to submit photos from the shows so we can archive them and also use some for the website...right now we send out e-mails to parents and staff and ask if anyone has any they want to share...so far this is not working. I am 2 shows behind in getting current images to use!

What content still need to be developed, gathered from stakeholders. Optimize photos currently used on website..they are too large still and download times are long.
Re-read Joomla class syllabus and schedule for class deliverables to see how it aligns with my work schedule. I need to set up some due dates for Melissa for milestones/approvals from my stakeholders and for me. Also discuss with Melissa the idea of keeping a time sheet of her work.

update this week
well I don't have much to say right now. I hope to have a meeting with my stakeholders this week

brief update
Just a brief update - I am going to try and post at tleast 2 times a week.
I have finally had a chat with my advisor, I seem to be his first capstone student.
So I guess we will be learning the process together.
We are experiencing our first technical issue with the building of the Joomla site.
Melissa tried to install joomla on the server which is hosting the site (Bluehost) and it seems to
have caused a problem and interrupted the service to the original site...but I m sure we will figure this out soon. I havent had a chance to try installing Joomla on my personal site which is hosted by gate.com. I would like to try this so I am able to follow along with the joomla class.
I am also planning on meeting with my advisor on friday afternoon to go over my capstone and hopefully work on the Rubric document. This will help with the revision of my other project documents.

Joomla Programmer
Sorry about the delay in posting.
I have good news and bad news this time around.
The good news is that I have found another student at the Grad. Center who is going to work with me on my capstone project. Melissa is going to help build the site using Joomla!
I am so excited that Melissa will be working with me, and I am ready to start revising my PM documents as well as meeting with my stakeholders. Currently, I am having difficulty getting the information I need for content development. This is holding things up and I think this may have been a problem in the past. I hope to work on this issue during Change Management class.
Now for the bad news...I learned that my job has been eliminated! the company is cutting 1200 jobs and I seem to be in that group. So, much of my time this past several days has been used to deal with the shock, and start to search for a new job. I need to update my portfolio website, which I had hoped to do in Joomla at a later date...but will have to do in CSS for now. I also need to tweak my resume and look into the possibility of relocating to NH....oh and find someone to hire me!!! Yikes
on the positive side, this change will allow me to return to my true passion....working with creative people in a collaborative environment...preferably developing internet sites and solutions.
next on the capstone horizon....

Interim site live today
Hello ...
I havent had time to post lately and much has happened.
We had another marketing meeting at the Rec department on april 18th, friday.
It was a very helpful meeting, where we discussed fund raising, goals, promotional efforts andof course the website. The need to launch a interim site was evident when we discussed placing ads in Arts Magazines and guides by May for the summer season. I will also need to send the link out to online tour/travel sites and arts organizations. I was dreading this at first as I would really like to have a site created with joomla ....but as with many "real" projects the timeline cannot be changed. I also have a lot of cleaning up to do on the site I created in class last trimester. I would like to create one template for the interior pages and one css document. I will be trying to do this soon.

So far it is an easy understandable read and joomla make s a lot of sense. I was originally concerned about the way search engines would handle joomla pages...but the books explains this in one of the later chapters. but I am jumping ahead to learn more about this.

Marketing Meeting
Friday morning I met with 2 of my project sponsors for a marketing meeting at the Rec. dept.
At the meeting I met Anne Blake who is the new marketing Director for the Rec. Dept. and who will be helping us with marketing, fundraising and promotional efforts. Also in attendance was Randi Cohen who is a volunteer with RYT and creates all of the show posters and flyers.
Much of our meeting was centered around current and future fund raising efforts.
Some new ideas were discussed as well as making adjustments to the current amount and levels of contribution.
I gave a brief description of my capstone project and the status and timeline. Everyone is very excited about having a new website and promotional tool.
I would like to find a web host for the interim website as there is an urgent need to put something up on the internet now!
I hope to do this in the next week or two.

Sponsor Letter Meeting
Well, I met with Susan B. on friday morning. We reviewed the capstone sponsor letter and she was happy to sign it. So it is official that I have a sponsor for the project.
I showed Susan some preliminary ideas for the site design and also what I have been working on for Web Standards class. This is a simple version of the site which has been helpful for me to think through content ideas, site structure and basic navigation. Susan really liked what I have done so far. It is very simple and not quite what I have in mind for the final project but could work as a jumping off point.
Once, again my lack of knoweldge of Joomla is affecting the design. I am wondering if the CMS will determine some of the layout and if decisions must be made up front for what is editable by the client and what remains static content. If photos are to be changed I have to take into consideration that the clients will not have access to photoshop so image editing will have to be simple and I am thinking perhaps a document(wireframe) with directions such as image size, dimensions, etc. for whoever takes over the website should be made...both electronically available from an admin area on the site ? and hardcopy kept with the client.
Just some thoughts.
I hope to review my PM documents for this project this weekend and start to revise them as necessary.
I would also like to assemble other layout ideas for the main page.

Not sure if having a CMS on board with a website effects the type of service used.

Starting my Capstone Project Blog
This is the first post for my Capstone Project Blog.
My project will begin in earnest in the next few weeks.
I am redesigning the Rutland Youth Theatre's website which has lain dormant for almost 2 years.
I hope to be able to provide a well designed website which will be easy to use and update.
but first I need to find a programmer to help me....
Much of the pre-organization for this project was completed during my last trimester at the GC
in the Project Management class...thank goodness!
